Our Approach

How the work is done

Every Pensara Desk service begins with a clear statement of what falls within scope. Before any documents are opened, the assistant explains in plain terms what the session or engagement will and will not cover. This is not a formality — it is what makes the rest of the work usable, because you know the difference between what has been explained as general information and what remains a question for a qualified professional.

Within that scope, we work at your pace. Drop-in sessions are ninety minutes, but there is no pressure to use all of them. Home visits are scheduled when it suits you. Community programme days are planned around your organisation's calendar. Nothing is rushed and nothing is skipped because time is short.

At the end of every piece of work, you receive something tangible: a session summary, a printed index, a written referral note, or a trained volunteer — depending on which service you have taken. The desk does not end with a handshake and a hope that things are now clearer.

Service 1

Paperwork Reading Room (Drop-In Session)

RM 460 per session

A weekly ninety-minute drop-in where anyone may bring their retirement-related correspondence and sit with an assistant who will read the documents aloud, explain what a form is generally for in plain terms, and help decide what needs to be kept and what can be filed away. There is no assessment of anyone's situation and no guidance is given on what a person should do. Where a question requires that, it is written down and the relevant agency's own enquiry channel is provided. Tea is served. Attendance is by simple booking and there is no follow-up contact unless you ask for it.

What is included:

  • Ninety minutes at the desk with a trained assistant

  • Guidance on what to keep, file, or discard
  • Tea and a quiet working space
  • No financial or legal advice of any kind

How it runs:

  4. Leave with a written summary and any referral notes

Service 2

Household Records Setup

RM 1,380 (two visits included)

A two-visit engagement carried out at your home or at the desk. The first visit sorts every retirement-related paper into a labelled drawer system, discards duplicates with your permission, and scans originals to an encrypted archive you control. The second visit, four weeks later, files anything that has arrived in the interim, checks the index, and trains one family member of your choosing on how the system works. Includes a fireproof document box, a printed index, and a plain-language sheet naming which public bodies issue which documents.

What is included:

  • Two visits (home or desk) — travel within Penang island included
  • Full sort and label of all retirement-related papers
  • Encrypted digital archive set up in your own storage account
  • Fireproof document box
  • Printed document index and agency reference sheet
  • Hands-on training for one nominated family member

How it runs:

  1. Book via contact form — first visit scheduled within two weeks
  2. Visit 1: sort, label, scan, index
  3. Four-week interval for new correspondence to arrive
  4. Visit 2: file new arrivals, review index, train family member

Service 3

Community Organisation Records Programme

RM 4,650 (full 12-month programme)

A programme for residents' associations, retiree clubs, and employee welfare groups who want to run their own paperwork education sessions. Covers a facilitator's manual, a slide set and printed handbook licensed for the group's internal use, two train-the-facilitator days for up to eight volunteers, a review of the group's own record-keeping practices, and quarterly support calls across a year.

What is included:

  • Facilitator's manual — printed and digital versions
  • Slide set and handbook licensed for internal group use
  • Two full-day train-the-facilitator workshops (up to 8 volunteers)
  • Review of the group's existing record-keeping practices
  • Four quarterly support calls over twelve months
  • Staged payment across the programme period available on request

How it runs:

  1. Initial enquiry and scoping call
  2. Facilitator Day 1: programme content and session structure
  3. Interval of 4–6 weeks for volunteers to practise
  4. Facilitator Day 2: refinement, Q&A, and referral practice
  5. Four quarterly check-in calls across the following year

Document privacy

No copies retained after completion. Scanned archives belong to you and are set up under your own account credentials.

Written session records

Every drop-in and visit produces a written summary. You leave with a record of what was covered, not just a memory of it.

Scope boundaries respected

When a question falls outside the scope of general information, we say so and refer. We do not attempt answers to questions that require qualified input.

PDPA registered

Pensara Desk is registered under Malaysia's Personal Data Protection Act 2010 (PDPA). Data handling complies with that Act.
